How to Register with Grants.gov 2024

After obtaining the UEI for the organization from SAM.gov, you must return to Grants.gov to continue registration. There is no fee for registering with Grants.gov. Your organization’s EBiz POC must:

• Create a Grants.gov account with the same email address as used in SAM.gov for EBiz POC, and Add a profile with Grants.gov using the UEI obtained from SAM.gov.
• The EBiz POC can then delegate administrative roles to other users. Read the Help article, Manage Roles for Applicant for instructions.

2. Click the Get Registered Now button on the Register page.

   • Primary Phone Number and Mobile Phone Number – You are required to enter a primary phone number, and you have the option of adding a unique mobile phone number (US only) that can be used to reset a forgotten password. First, you must register with SAM.gov to obtain a Unique Entity Identifier (UEI). The UEI is a 12-character alphanumeric identifier assigned to all entities (public and private companies, individuals, institutions, or organizations) to do business with the Federal Government. Organizations will also need to designate an E-Business Point of Contact (EBiz POC). It can take 7-10 business days to fully complete the registration process required for most funding opportunities. I forgot my Grants.gov password. How do I reset my password 2023

If your Grants.gov password is linked to Login.gov, go to the My Account page in the top right corner of the Grants.gov banner and click the Change Password tab under My Account.

If you have not yet linked your Grants.gov account to Login.gov, you will be given an opportunity to reset your password during the linking process.  

• Click the Login.gov button on the Grants.gov login screen
• Create your Login.gov account and you will be redirected to the “Link to Grants.gov Account” page. 
• Click the Forgot My Password/Unlock My Account link that is located beneath the Username and Password fields.
• Enter your username in the Username field.
• Enter the email address associated with your username in the Email Address field.
• Select how you want to receive the temporary code (via email or mobile phone) to reset your password. Users who have not added mobile number to their account profile will not see this option and will automatically receive the temporary code via their account email address.
• Click the Continue button.
• Enter the Temporary Code that was sent to the email address or mobile phone number associated with your account, then click Continue. (Note: If you do not receive the code, click the Resend Temporary Code button.)
• Enter your new password and confirm it was entered correctly by re-typing it into the New Password Confirm field.
• Click the Submit button to complete the password reset process.

Learn How to Register a Grants.gov Account

All users need to register with Grants.gov, which creates one Grants.gov account for accessing and using the system as either an applicant or grantor. An account in Grants.gov is defined by your unique email address, username, and password. The Grants.gov account creation process is the same for both applicants and grantors. To connect your one Grants.gov account with one or more entities, you create separate “profiles” within your account. One Grants.gov account can have multiple profiles, and each profile allows for different roles and access levels to be assigned within that particular entity. The Grants.gov profile creation process is different for applicants and grantors.

Users may use the My Account features once registered to manage one or more profiles within your Grants.gov account or update account information, such as changing your email address or password.

How to Register a Grants.gov Account

1. Click the Register link in the top-right corner of the Grants.gov banner.
2. Click the Get Registered Now button on the Register page.
3. Complete the Contact Information and Account Details sections. All fields with a red asterisk (*) are required.
   • Email Address – When entering an email address, please keep in mind that all correspondence with Grants.gov will be sent to that email address.
   • Primary Phone Number and Mobile Phone Number – You are required to enter a primary phone number, and you have the option of adding a unique mobile phone number (US only) that can be used to reset a forgotten password. If you enter a mobile phone number, you will need to confirm the number by entering it a second time in the confirmation field.
   • Username – Enter a username to log in to Grants.gov. It may only contain alphanumeric characters, question marks, periods, dashes, underscores, and the @ symbol. Usernames cannot resemble a Unique Entity Identifier (UEI), so 12-character usernames must contain one of the above special characters, or an “I” or “O”. Your username also cannot contain a space, nor can it only include numbers. Select a username you will remember. Do not write down your account information.
   • Password – The password you choose must meet the following password requirements:
     • Must contain at least eight (8) characters
     • Must contain at least one (1) uppercase letter (A-Z)
     • Must contain one (1) lower case letter (a-z)
     • Must contain at least one (1) number (0-9)
     • Must contain one (1) special character (e.g. ! @ # $ % ^ & *)
     • Cannot be the same as the previous six (6) passwords
     • Cannot contain dictionary words, names, or your Username
     • Cannot contain common password sequences (e.g. 1234, !@#$%)
4. Select whether to subscribe or unsubscribe from Grants.gov Communications. The Alerts are important messages about time-sensitive or major system changes. The Newsletter features training, system enhancement updates, and other resources to help the federal grants community.
5. Click the Continue button.
6. Click the Send Temporary Code button, then access your email account to get the temporary code.
7. Enter the temporary code you received in the email from Grants.gov into the Temporary Code field and click the Continue button.
8. On the Register page under “How would you like to proceed?”

• APPLICANTS – Add an organization applicant profile or an individual applicant profile to your Grants.gov account. “Organization” means you work for an organization and apply on behalf of the organization. “Individual” means you will apply for grants on your own to receive the award directly.
• GRANTORS – Click the Continue button to log in to Grants.gov, then contact your federal agency point of contact (POC) who must initiate the grantor profile affiliation process.

How to Ensure a Smooth Application Submission Process

The following practices will help to ensure that your agency’s application submission process runs as smoothly as possible:

1. Encourage your applicants to register with Grants.gov.

A primary reason application submissions are rejected is that the person submitting the application has not completed the Grants.gov registration process.  It is recommended that grantors provide applicants with an overview of the process in the announcement instructions. For customizable copy about the registration process, please see “Standard Language Describing the Grants.gov Application Process.”

PRO TIP: Our analysis shows that agencies with opportunity announcements that include language about the Grants.gov registration process are less likely to have applications rejected due to registration or AOR role assignment issues.

2. Accurately estimate the expected number of applications.

When indicating the Expected Number of Applications, agencies should strive to be as accurate as possible.

PRO TIP: If you are posting a new opportunity announcement, use the response to a similar funding opportunity to gauge the Expected Number of Applications.

3. Provide an Agency Contact for electronic access problems and questions.

Some agencies are incorrectly inserting “Grants.gov Help Desk” as the Agency Contact when posting an announcement. The intent of these fields is to connect the applicant to someone within your program office who can assist them when they have questions about your specific announcement. Here is how the following fields should be used: 

• Agency Contact: This field is pre-populated by the system and contains the name of the person who is currently logged into the system and trying to publish an opportunity. This information can be overwritten as needed.
• Email Address:  This is also pre-populated by the system and can be overwritten. Enter the email address of someone – within your agency – who can assist applicants with specific inquiries.
• Email Description: Enter text that will be used as a hyperlink to the email address provided. For example, if you entered “Agency Help Desk,” then when the synopsis is published and someone clicks on “Agency Help Desk” an email will open with the agency contact’s email address pre-populated in the “To” field.

If you always login to Grants.gov using an alternate method (Login.gov, PIV/CAC card, etc.), you may disregard password expiration notices. At any point when you attempt to log into Grants.gov with your expired password, you will be prompted to reset the expired password. To reset an expired password:

• Login to Grants.gov using your username and password. If your password is expired, you will be directed to the Reset Password page.
• Enter your old password and a new password based on the requirements listed on the Reset Password page.
• Click the Submit button. You will receive an email notification of your password reset.

What do I do after my grants.gov account has been disabled for inactivity?

If your account is deactivated, you must log in and change your password to re-activate your account. If you do not remember your password, then click the Forgot My Password/Unlock My Account link and follow the on-screen instructions.

What is a Unique Entity Identifier (UEI)?
A Unique Entity Identifier (UEI) is a unique number assigned to all entities (public and private companies, individuals, institutions, or organizations) who register to do business with the federal government. (U.S. General Services Administration). UEI numbers are obtained from www.sam.gov.

Filling Out Forms

Can I copy and paste information into my Grants.gov application from a Microsoft Word document?
Copying and pasting data into a Grants.gov application form from Word may lead to errors in the Adobe Reader form. If using the copy and paste function, copy the information from a text editor, such as Notepad or TextEdit, which does not have proprietary fonts or special characters.

What kind of information can be entered into form fields within my application?
Grants.gov application packages offer fields to enter a set amount of data. When the limit is reached for a certain field, you will no longer be able to enter data into that field. For every form, there are different limitations to the data that you are allowed to enter (this varies between agency and form). Refer to the agency instructions available for download with the application package for more detail.

Grant.gov is now capable of accepting special characters (UTF-8 character set) within form fields; however, please refer to the specific agency instructions for guidance regarding the use of special characters.

Applicant and Grantor users are able to login to Grants.gov with their username and password after they have linked their Grants.gov account with Login.gov.

To link a Login.gov account to your Grants.gov account, click the Login.gov button and enter your Login.gov email address and password on the next screen.  Next, you will be directed back to Grants.gov to login with your Grants.gov username and password and complete the account linking process.

EBiz POC Login

As of January 21, 2023 you no longer need a separate EBiz POC account. You can now access EBiz POC functions through Login.gov (see above). For more information, please read the EBiz POC Login help article.

PIV/CAC Cards

Grantors are able to login with a PIV/CAC card after it has been linked to a Grants.gov account. This login feature is not open to applicants.

Access Management System (AMS) Credentials

HHS users may also choose to login with their Access Management System (AMS) credentials, after linking an AMS account to a Grants.gov account.

To link your AMS credentials, click the AMS button and log into the AMS system. Next, you will be directed back to Grants.gov to log in with your Grants.gov username and password and complete the account linking process.

Step 1: At the Grants.gov login page, click the Login.gov button. It is recommended that Applicants create a Login.gov account through the link on the Grants.gov login page, as it will simplify the account linking process.

Step 3: Upon confirming your email address, create a password with Login.gov.

How to Add a Profile

1. Login to Grants.gov.
2. Click the My Account link in the upper-right corner of the Grants.gov banner.
3. Click the Manage Profiles tab.
4. Click the Add Profile button in the Manage Profiles tab
5. Select either the New Profile or From Existing Account radio button.
6. Select the Profile Type for the new profile you wish to create.
   1. Organization Applicant: If you will work on applications on behalf of an organization, and not yourself, select this option and enter the UEI.

How to Find the Grantor Contact Information on a Funding Opportunity 2024

• Go to the FOA on Grants.gov—either by clicking the FOA’s Opportunity Number in your search results or from a direct link you have bookmarked.
  Under the Synopsis tab, scroll down to the section that reads Additional Information.
• Look to the right of Grantor Contact Information field for information on where to address your question. The above example from the National Endowment for the Humanities (NEH) shows both a physical address and an email address. The type of contact information listed can differ from agency to agency, and from program to program.
• Next, click on the Package tab.
• Click the Preview link associated with the desired opportunity package. The Preview Opportunity Package Details popup window will open.
• Look under the Opportunity Package Details section for additional Agency Contact information.

One final tip: Applicants will also want to access and carefully review the FOA’s Related Documents in case other contact information is listed by the grant-making agency.
